Privacy Policy

FairlyHire is a consent-based interview-integrity tool operated by Casimir Technologies LLC (“FairlyHire,” “we,” “us”). This policy explains what data we collect, why, and the choices you have. It covers two kinds of people: interviewers (who hold accounts) and candidates (who run our integrity agent during an interview).

The short version for candidates: FairlyHire cannot see your screen, your keystrokes, your webcam, or your files. The agent runs on your computer, looks only for known cheating tools and windows hidden from screen capture, and sends the interviewer a verdict — nothing else. You consent before it starts and can stop at any time. We do not ask for or store your name or email.

1. Data we collect from interviewers

When you create or use an interviewer account, we collect:

  • Account identity, through our authentication provider Clerk: your email address, your name if you provide one, and the identifiers Clerk assigns to your user and organization.
  • Organization details you enter, such as an organization name.
  • Activity and audit logs: a record of actions taken in your account (for example, creating or deleting an interview session), with timestamps, used for security and account history.
  • Interview sessions you create: a join code, status, the verdict and findings reported by the agent, consent status, and timestamps.

Billing information is not collected during the private beta, which is free. If and when paid plans are introduced, payments will be handled by a third-party payment processor and this policy will be updated.

2. Data the agent collects from candidates

The FairlyHire agent runs locally on the candidate’s own computer for the duration of an interview. To do its job it examines, on the local machine only, the list of running processes and open windows — to recognize known cheating tools and to detect windows that have been hidden from screen capture (the technique those tools use). This scanning happens on the candidate’s device and most of it never leaves it.

The agent does not:

  • capture or record your screen;
  • log your keystrokes;
  • access your webcam or microphone;
  • read, open, or upload the contents of your files.

What is actually sent to FairlyHire

When the agent reports in, only the following derived integrity signals are transmitted to our service and made available to the interviewer who created the session:

  • a verdict — Clean, Suspicious, or Caught;
  • a list of findings, each with a category, a severity, and a short title and description. When a window is detected hiding from screen capture, that finding’s description may include the window’s title and the name of the application that owns it;
  • a count of newly launched applications that did not match a known signature — the count only; the application names are deliberately not sent;
  • whether the candidate consented, the agent version, and the operating system.

Ordinary applications — browsers, music, chat, games — are not reported. We do not ask candidates for, and the service does not store, a candidate’s name, email, or other identity. A candidate is associated only with the interview’s join code.

Consent and your control

Before monitoring begins, the agent shows a consent panel describing what it does and does not do. You may decline, in which case no findings are sent, and you may stop the agent at any time by closing it. Participation is between you and the organization conducting your interview.

3. How we use data

  • to provide the service — showing the interviewer the verdict and event timeline for a session;
  • to authenticate interviewers and keep accounts secure;
  • to operate, maintain, debug, and improve the service;
  • to comply with legal obligations.

We do not sell personal data, and we do not use it for advertising.

4. Who we share data with

  • The interviewer / organization that created a session receives that session’s verdict and findings — that is the purpose of the service.
  • Service providers who help us operate, under contract: Clerk for authentication, and our hosting and infrastructure providers. If paid plans launch, a payment processor will be added.
  • Legal: if required by law, or to protect our rights, users, or the public.

5. Data retention

Interview sessions, findings, and event timelines are retained for the interviewer’s reference until they are deleted by the interviewer or their organization, at which point the session and its associated events and findings are removed. During the private beta you may also request deletion of your account or session data by contacting us. We are establishing standard retention windows and will state them here as the product matures.

6. Security

Data is encrypted in transit (HTTPS/TLS). We use access controls and authentication to limit who can reach interview data. No system is perfectly secure; as a private-beta product, our practices are evolving and we will not overstate them.

7. Your rights

Depending on where you live (for example under GDPR or the CCPA/CPRA), you may have rights to access, correct, delete, or restrict the use of your personal data, and to object to certain processing. To make a request, email hello@fairlyhire.app. Because the service does not collect candidate identity, candidates are generally identifiable to us only via an interview code; please include it.

8. International and hosting

During the private beta the service is hosted on infrastructure controlled by Casimir Technologies LLC. As we grow we may use cloud hosting; we will keep this section current.

9. Children

FairlyHire is not directed to children and is intended for use in professional hiring contexts.

10. Changes to this policy

We may update this policy as the product evolves; we will revise the “last updated” date above and, for material changes, take reasonable steps to notify account holders.
